Custom business AI agents

AI agents that carry out defined work with clear boundaries.

Some business tasks need several steps: find information, interpret a request, use a system and prepare an action. Kitek develops custom AI agents around a defined workflow, the tools they may use and the decisions a person must approve.

We help turn an agent idea into a testable scope, connect it to your existing applications and make its behaviour visible to the people responsible for the work.

Start with the job

Give the agent a purpose your team can verify.

A useful business agent has an explicit task, approved sources of information and a limited set of actions. It also needs a way to recognise uncertainty, stop safely and hand work to a person.

We assess the workflow before deciding how much independence is appropriate. Some tasks need an assistant that prepares a recommendation. Others can allow selected actions within agreed rules and approval limits.

01

A clear starting point and result

Define what starts the task, what completion means and which cases are outside scope.

02

Approved tools and information

Identify the records, documents and system operations the agent needs, with access limited to that purpose.

03

An accountable human role

Agree on who approves consequential actions, reviews exceptions and owns the workflow in operation.

Possible applications

Explore tasks with several connected steps.

These examples illustrate potential scopes. We would assess their feasibility and controls against your systems and representative work before recommending an implementation.

01

Enquiry preparation

An agent could inspect a request, choose the permitted account and document lookups it needs, identify missing details and prepare a routing recommendation. Staff approve any response or record change.

02

Document review support

Extract information, compare it with approved records and prepare a source-linked exception summary for a reviewer.

03

Internal knowledge tasks

Search authorised material, assemble an answer with its sources and request clarification when the available information is insufficient.

04

Operational follow-up

Check the status of a defined item, prepare the next permitted step and send anything outside the agreed rules to the responsible person.

From concept to working software

Define the permissions and checks alongside the task.

  1. 01

    Specify the workflow

Document the task, users, inputs, expected outputs and exceptions. Agree on allowed actions and the circumstances requiring approval or escalation.

  2. 02

Build the tools and knowledge access

Connect the required APIs, document sources or application functions. Keep tool permissions narrow and validate inputs before allowing changes to business systems.

  3. 03

    Evaluate representative cases

Test normal work, ambiguous requests, missing information and attempts to redirect the agent through untrusted content. Check task completion, source use and adherence to action limits.

  4. 04

    Integrate, release and hand over

Put the agent into the agreed workflow with logs, visible exceptions and a responsible owner. Document operation, approval steps, test cases and the process for making later changes.

Keep control as it changes

Plan who owns the agent and how it is supported.

External services can fail, source information can change and an apparently reasonable answer can still be wrong. The workflow needs limits, a stopping point and a person who can investigate exceptions.

We define which activity should be recorded, how approvals are represented and how the agent can be paused. Changes to prompts, tools or models should be checked against agreed examples before release.

The handover can include the workflow specification, integrations, permissions, evaluation cases and operating guidance. Ongoing support can be scoped around the application and the people maintaining it.

A practical example at Kitek

Separate preparation from permission to act.

Our internal editorial workflow creates WordPress drafts for a person to review. The draft importer cannot publish. Sources, claims, metadata and artwork are checked before a person approves publication, and a separate worker handles subsequent distribution.

This gives us a concrete example of an AI-assisted workflow with separate responsibilities and a software-enforced approval boundary. It does not remove the need for editorial judgement.

Before we start

Questions about your project.

What is a business AI agent?

A business AI agent uses a model together with approved information and software tools to carry out steps towards a defined task. Its permissions, stopping conditions and human approval points should be explicit. The right level of independence depends on the consequences of its actions.

How is an agent different from a chatbot or an automation?

A chatbot is an interface for a conversation. A fixed automation follows predefined steps. An agent can use context to choose among permitted steps or tools. A business solution may combine all three, so we choose the approach around the task and how reliably it can be checked.

Can an agent update our systems or send messages?

It can be connected to those functions when system access permits it. We agree on allowed operations, validate the inputs and define which actions require human approval. A preparation-only agent can be a useful first scope when external actions carry greater risk.

How will we know whether the agent is ready to use?

We agree on evaluation examples and acceptance criteria for the task. These should include exceptions, uncertain answers, incorrect sources and prohibited actions as well as normal work. The release decision considers the results and the controls around remaining limitations.

What access do you need to scope a project?

Initially, a workflow description, system list and non-sensitive examples may be enough. Later access is limited to what the agreed work needs. We review data handling and service-provider requirements before connecting confidential information.

Can you improve an existing agent prototype?

We can review its code, integrations, permissions and behaviour to identify what it needs for the intended workflow. The next step may be clearer scope, stronger tests, application work or a controlled pilot, depending on the findings.

A clear first conversation

What should your agent be able to complete?

Bring us a task, the systems involved and the actions you want a person to approve. We can help define a practical scope and the evidence needed to assess it.
